Automating and tracking EDI requirements in NetSuite

Here’s a (very short) primer on EDI. EDI is an electronic interchange of business information using a standardized format. EDI enables the automatic exchange of data across business applications across a supply chain. The companies with whom you exchange business documents are called your trading partners. Although the document formats are the same across trading partners, the data required by each trading partner varies.

If you’re only supplying your products to, say, one trading partner, their requirements are not too difficult to track. But what if you’re supplying to 40?

That’s why GBS created a way to track EDI trading partner requirements directly on the customer record in NetSuite. It gives you a single source of information for all of your EDI data. Here’s a rundown of how it works:

You know that the data required by each of your trading partners varies, even though the document formats are the same. Sort of defeats the purpose of those standardized documents, doesn’t it? Manually changing that information from trading partner to trading partner is a time-consuming hassle and, the way we see it, should be easier and more effortless than that. By creating these features, you can track those requirements directly on the customer record in NetSuite. Automated. Easy. More efficient.

But, we didn’t stop there. With EDI automation, we went one step further than simple tracking. The automation feature we created ties into tracking but is much more complex and, we believe, helps our customer in a deeper and more robust way.

We created a workflow in NetSuite in which we take all of a customer’s trading partners and create a separate workflow for each of them. For each trading partner, their EDI requirements will always be set in the workflow. We automate all of the field levels and details required at a trading partner level.

Why is the automation important? It goes back to the complexity of having multiple trading partners. Not only do you need to track their EDI requirements, but you need to automatically comply with them. Companies can have 50 trading partners, all with different requirements.

These features support integrations with SPS Commerce, True Commerce, B2B Gateway and can be customized to fit any EDI partner you are working with.
